Sales Coordinator

Location: Vancouver, BC

Reports To: Director of Sales & Marketing

The Role

We are seeking an enthusiastic and detail-oriented Sales Coordinator to join our team. This role bridges sales and marketing functions to support Smallworks’ growth, ensuring smooth communication with clients and the successful execution of sales initiatives. The ideal candidate will bring strong organizational skills, a proactive approach to problem-solving, and a passion for building client relationships.

Key Responsibilities

Sales

  • Client Inquiries
  • Respond promptly and professionally to inquiries from prospective clients via phone, email, and web forms.

  • Lead Management
  • Follow up on inbound leads and assist in qualifying them for consultations.

  • CRM Maintenance
  • Schedule consultations and maintain and update the customer relationship management (CRM) system ensuring accuracy and completeness.

  • Sales Materials
  • Prepare sales presentations, materials, and project outlines to support the sales team.

  • Client Appreciation
  • Coordinate the delivery of client gifts as part of the company’s customer experience and referral strategy.

Marketing

  • Event Coordination
  • Organize open houses and assist in coordinating seminars, community events, and trade shows.

Qualifications

  • Education
  • Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
  • Equivalent experience in sales or client services may be considered.

  • Experience
  • 2-4 years of experience in a sales coordination, client relations, or administrative support role.

  • Organizational Excellence
  • Strong organizational skills with meticulous attention to detail.

  • Problem-Solving
  • A calm, solutions-focused approach to time management, multi-tasking, and prioritization.

  • Tech Savvy
  • Familiarity with graphic design tools like Canva and CRM tools, such as Hubspot.

Handing Skills for this Role

  • Industry Knowledge
  • Understanding of construction processes and the Vancouver real estate market.

  • Design Proficiency
  • Ability to use or quickly learn software like SketchUp or Vectorworks.

  • Bilingual Communication
  • Fluency in Cantonese or Mandarin is considered an asset.
